Privacy Policy

Exactly what this website collects, who it goes to, how long we keep it, and how to have it deleted.

This policy explains how EPIXS Media (“we”, “us”, “our”) handles personal information on https://epixs.in. It is written to be read, not to be skimmed past — if anything here is unclear, email helpdesk@epixs.in and we will explain it.

Who we are

EPIXS Media, Shree Vignesh Towers, Flat No. 105, D.No 18-8-40D, Leela Mahal Circle, Madura Nagar, Tirupati, Andhra Pradesh 517501, India. We are the data fiduciary (under India’s Digital Personal Data Protection Act, 2023) and the data controller (under the UK and EU GDPR) for the information described below.

What we collect

When you send us an enquiry

Our contact and quote forms collect your name, email address, phone number, the service you are interested in, and whatever you write in the message box. We also record the page you were on when you clicked through to the form, so we can answer you in context, plus the date and time and the IP address the enquiry came from, which we use to block automated spam.

When you use Sapien, our AI assistant

The chat bubble on this site is powered by Anthropic PBC, a company in the United States. What you type in the chat window is sent to Anthropic’s servers so a reply can be generated, and it leaves India in the process. We do not store your conversations on our own servers, and we do not use them to train any AI model. Please do not type passwords, card numbers, identity-document numbers or anything else confidential into the chat — use the contact form, email or phone for that.

Technical information, automatically

Like every website, ours receives your IP address, browser type and the page you requested. Our security provider, Cloudflare, uses these to filter attacks and to serve pages quickly.

How we count visits

We use Cloudflare Web Analytics to see how many people visit, which pages they read, roughly where in the world they came from and how fast the pages loaded. We need this to know which of our pages are useful and to keep the site quick.

It is deliberately the least intrusive option we could find. It sets no cookies, stores nothing on your device, and does not fingerprint your browser or build a profile of you. It cannot follow you to other websites, and it does not identify you as an individual. What it records is a count of page views with basic technical detail — country, browser, referring site, page speed — and nothing that we could tie back to a person.

What we do not collect

  • No advertising or cross-site tracking. We run no Google Analytics, no Meta Pixel, no advertising script and no tag that can follow you from this site to another one. The only measurement here is the cookieless one described above.
  • No cookies of our own. This site sets no cookies and stores nothing in your browser for tracking — our analytics is cookieless by design, so there is no consent banner to click. Cloudflare may set a short-lived cookie purely to tell humans from bots.
  • No profiling and no automated decisions that produce a legal or similarly significant effect on you.
  • No data from children. This site is aimed at businesses. We do not knowingly collect information from anyone under 18. If you believe a child has sent us their details, email helpdesk@epixs.in and we will delete it.

Why we use it, and on what legal basis

  • To reply to you and quote for work — because you asked us to (consent under the DPDP Act; steps taken at your request before entering a contract, and our legitimate interest in responding to enquiries, under the GDPR).
  • To deliver services you engage us for — performance of a contract.
  • To keep the site up and stop abuse — our legitimate interest in a secure, working website.
  • To count visits and page speed — our legitimate interest in understanding which pages are useful and in fixing slow ones. Because this measurement sets nothing on your device and cannot identify you, it does not require your consent.
  • To meet tax, accounting and legal obligations.

We do not sell your personal information, we do not share it with advertisers, and we do not send marketing email to people who only made an enquiry.

Who else sees it

We use a small number of service providers, each bound to handle the data only on our instructions:

  • Anthropic PBC (United States) — generates the replies in the Sapien chat assistant. It sees what you type in the chat window.
  • Cloudflare, Inc. (United States) — security filtering and content delivery for the whole site, and the cookieless visit counting described above. It sees your IP address and request details.
  • Our web hosting and email provider — stores the enquiry backup log and delivers enquiry emails to our inbox.

Beyond these, we disclose personal information only where the law requires it, or to establish or defend a legal claim.

Information leaving India

Because Anthropic and Cloudflare are based in the United States, chat messages and technical request data are processed outside India. Where the UK or EU GDPR applies to you, those transfers rely on the European Commission’s Standard Contractual Clauses, which our providers incorporate into their terms.

How long we keep it

  • Enquiries: the backup log on our server is automatically trimmed to the last 24 months. Enquiry emails in our inbox are kept for as long as the business relationship or a legal obligation requires, and deleted on request.
  • Anti-spam records: the counters that limit how many messages one connection can send are deleted automatically within about twenty minutes.
  • Chat conversations: not stored by us at all. Anthropic retains them under its own policy.
  • Visit counts: held by Cloudflare as aggregate statistics, under Cloudflare’s own retention policy. There is no individual record for us to keep, delete or hand back.
  • Client project records: kept for the length of the engagement and then for as long as tax and accounting law requires.

How we protect it

The whole site is served over HTTPS. The enquiry backup log is kept outside the public web folder, so it cannot be reached from a browser. Access to our email and servers is limited to the people who need it. No system is perfectly secure, but if a breach ever affects your data we will notify you and the Data Protection Board of India as the DPDP Act requires.

Your rights

You can ask us at any time to:

  • tell you what personal information of yours we hold;
  • correct anything inaccurate or incomplete;
  • delete it, where we have no continuing reason to keep it;
  • withdraw consent you previously gave;
  • nominate someone to exercise these rights for you if you die or become incapacitated (DPDP Act, section 14);
  • if the UK or EU GDPR applies to you: receive a copy in a portable format, restrict or object to our use of it, and complain to your national data protection authority — in the UK, the Information Commissioner’s Office.

Changes to this policy

If we change how we handle personal information, we will update this page and move the “last updated” date at the top. For a significant change affecting people who have already contacted us, we will say so directly.
